Receive overnight delivery to any address in the continental USA. Order must be over $120, under 10 lbs, and in-stock in a participaing distributor. Call to verify eligibility.

Orders $3,500+

Orders totaling $3,500 or more qualify for free standard and freight shipping. Restrictions may apply on refrigerant, oversized and hazmat items.

We ship from multiple warehouses across the USA and may be able to save you significant time and money on expedited shipping. Not all items qualify for flat-rate overnight specials - calling first ensures the fastest possible resolution.

Overnight $35 Flat Rate - Qualifying Requirements:

- Package weight under 10 lbs (dimensional weight restrictions apply)

- All items shipping to the same address

- Order placed and payment received by 5:30 PM Eastern Time

Shipping Methods & Costs

All delivery times are calculated in business days (Monday-Friday, excluding U.S. federal holidays) and are based on the stock availability of all items in your order. All shipments are prepaid prior to release.

For orders under $50.00, may have a handling fee of up to $4.50 may apply. No additional handling charge is added to back-ordered items unless the item subtotal is under $50.00. Any charges for special services - such as customer-specified ship-from locations - will be added to the order total and prepaid before shipment. Export orders may be subject to special terms.

Free shipping is sent standard UPS Ground. Restrictions apply. For large freight shipments, we select the carrier that best fits your needs - leveraging our accounts with major freight carriers to save you money wherever possible.

Our Distribution Centers

HVA Supply ships from our network of warehouse distribution centers and factory vendor partners located throughout the USA. We maintain select inventory at our facilities and also ship directly from manufacturer warehouses and master distributors when needed to get you parts faster.

Order Confirmation & Tracking

Once payment is received and processed, you will receive an order confirmation via email. You can log in to your HVA Supply account at any time to view your order status, shipment tracking, account history, and wishlist.

A tracking number will be emailed to you as soon as your order ships. You can also access live tracking details through your online account dashboard.

Freight Shipments & Refrigerant

IMPORTANT: Refrigerant - Freight Only (Hazmat)

All refrigerant products are classified as hazardous materials and must ship by freight truck - no UPS, FedEx, or parcel carrier shipments are permitted. Refrigerant orders cannot be delivered to residential addresses in most cases.

Why we limit freight deliveries to commercial addresses: Freight carriers deliver palletized goods using lift-gate trucks. If a shipment must be returned or refused, the customer is responsible for repalletizing the items for pickup - something that is generally not feasible at a residential address without commercial equipment. For this reason, we strongly recommend all refrigerant and large freight orders be shipped to a commercial address such as a shop, warehouse, or business with dock access.

All freight items are strapped to a wooden pallet prior to carrier pickup to minimize transit damage. Once released to the carrier, the shipment becomes the property of the consignee.

Damaged Shipments

All products are inspected and packaged by our warehouses or manufacturers prior to carrier pickup. In the event your shipment arrives damaged, please follow these steps before signing the delivery receipt:

1.  Verify that all items listed on the bill of lading or delivery receipt are present. Note any missing items on the receipt and have the driver sign your copy.

2.  Inspect all cartons for external damage before the driver leaves. Note any damage on the delivery receipt and have the driver sign it.

3.  If possible, unpack each carton in the driver's presence and inspect each item. Document any damage on the delivery sheet, have the driver sign your copy, and file a claim with the carrier immediately.

4.  Refuse delivery if the equipment appears damaged beyond repair. Write your specific reason for refusal on the shipping documents and obtain a signed copy from the driver with your remarks.

5.  If you discover concealed damage after the driver has left, you have 2 business days to report it. Contact the carrier immediately to schedule an inspection. Keep all packaging material and contents exactly as found, and take photographs to support your claim.

Important: Freight Damage

For freight deliveries, do not sign the delivery receipt without noting any damage. Signing without notation may void your ability to file a damage claim with the carrier. You have 2 days to report concealed damage discovered after delivery.

Lost Packages

If your tracking information shows a package as delivered but you have not received it, please call us at 865-401-4129. We will assist by conducting a carrier tracer investigation or by filing a claim on your behalf.

Please note: HVA Supply will not ship a replacement order while a tracer investigation is in progress. We appreciate your patience while the matter is resolved with the carrier.

Special Order Items

No Cancellations on Special Orders

Once we place a factory order for a non-stock or custom-made item, the order cannot be cancelled. Please confirm your selection carefully before completing your purchase.

Special order items require additional lead time before shipment. Your order will ship once the item is ready, full payment has been received, and your delivery address is verified. You will be notified of your special order status by email and through your online account.

Re-Delivery & Special Handling Fees

If a freight shipment cannot be delivered on the first attempt because the consignee is unavailable or refuses delivery without cause, a re-delivery fee will apply:

Freight Re-Delivery Fee: $20.50 per CWT (hundredweight) - minimum $85.00, maximum $685.00. This charge is in addition to all applicable freight rates.

For residential freight deliveries: this fee applies only when a prior delivery appointment was scheduled with the consignee and the carrier is unable to complete delivery through the consignee's fault.

For UPS and FedEx shipments, expedited services such as Next Day Air, 2nd Day Air, and Saturday Delivery are available upon request. Standard internet orders ship via ground delivery with an estimated transit time of up to 10 business days. We will provide estimated delivery times and available service options if you request a quote.
